Role Overview

The Workplace Services Specialist manages and coordinates end-to-end workplace services, ensuring smooth, cost-effective operations and a consistent employee experience across the assigned region.

 

Key Responsibilities

Business Travel, Meetings & Events

• Coordinate business travel, meetings, training, corporate events and employee engagement activities.

• Ensure smooth delivery, cost efficiency and a positive service experience.

Facilities, Assets & Workplace Operations

• Oversee facilities, workplace spaces, assets, maintenance and related services.

• Ensure a safe, efficient and well-maintained working environment.

Reception, Administration & Canteen Services

• Coordinate reception, office administration, supplies and canteen services.

• Ensure consistent service quality and compliance with company standards.

Fleet & Driver Management

• Coordinate fleet and driver operations, including scheduling, maintenance and service performance.

• Ensure safe, efficient and compliant transportation services.

Vendor & Payment Management

• Manage vendors, service delivery, documentation and payment processes.

• Monitor service quality, costs and compliance with internal procedures.

Reporting & Continuous Improvement

• Monitor budgets, service performance and workplace operations across assigned locations.

• Identify improvement opportunities to enhance efficiency, service quality and employee experience.

Job Requirement

• Bachelor’s degree in Business Administration, Hospitality, Event Management, Human Resources, or related fields.

• 3–5 years of experience in workplace/administrative operations, corporate travel, meetings & events, or employee engagement activities.

• Experience in large-scale, multi-site organizations or Shared Services/Operations Centers is preferred.

• Strong planning, coordination, and multitasking skills, with the ability to work effectively with internal stakeholders and external vendors.

• Experience in vendor management, budget tracking, payment processing, and operational reporting.

• Proficiency in Microsoft Office/Google Workspace and other workplace productivity tools.

• Knowledge of workplace safety, fire prevention, and food safety regulations is an advantage.
